Maintenance Customer Support Representative (CSR)

Heritage Pools LLC is looking for a Maintenance Customer Support Representative (CSR) to assist customers, coordinate technician schedules, and support the overall efficiency of our maintenance department.

Job Overview

The Maintenance CSR is responsible for answering customer inquiries, scheduling maintenance technicians, managing field data, and supporting the department’s daily operations. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively.

Position Details

  • Reports To: Leadership Team

Key Responsibilities

Customer Service & Scheduling

  • Answer customer calls, emails, and inquiries regarding maintenance services.
  • Support customer requests by scheduling Maintenance Technicians and Service Technicians.
  • Develop and assign daily and weekly routes for technicians and trainers.

Operational Coordination

  • Communicate daily with Field Supervisors to ensure workload expectations are clear and executed.
  • Attach and organize all field data and reports within the CRM system.
  • Dispatch same-day service requests to technicians and communicate any updates.

Performance & Data Management

  • Monitor vehicle tracking system (Azuga) to ensure scheduled employees are on route.
  • Review zoning, efficiency reports, and route performance to optimize scheduling.
  • Track all pools added or removed from maintenance routes in the Maintenance Workbook.
  • Call seasonal customers in the spring to recommend reopening services.

Qualifications and Requirements

Education & Experience

  • High school diploma or GED required.
  • Previous experience in customer service or office administration preferred.

Certifications & Training

  • LSI/Orenda Water Chemistry Training (or willingness to complete).
  • Pentair University Training (or willingness to complete).

Skills & Physical Requirements

  • Strong communication and customer service skills.
  • Ability to multitask and manage scheduling logistics efficiently.
  • Detail-oriented with experience using CRM systems and scheduling tools.
  • Ability to lift, bend, and stand for extended periods when needed.

Additional Requirements

  • Must pass a background check and drug screening.
  • Valid driver’s license and reliable transportation.
